Brief recommendations for the design of manuscripts for publication in Russian and foreign scientific journals

When preparing scientific articles for publication, the author must fulfill certain requirements set by the journal for the content and design of manuscripts. Each journal has its own rules for the authors of articles, but there are a number of general recommendations for all publications.

The structure of an article in a scientific journal consists of several blocks:

Block 1 – (in Russian). Title of the article, names of authors, affiliation, i.e. belonging to a scientific organization (full legal name of the organization, postal address of the organization), then the e-mail address of the author responsible for contacts, annotation (author's summary), author's keywords.

Block 2 – (in English). Transliteration and translation of all block 1 data into English in the same sequence: the title of the article in English, the names of the authors in Latin (transliteration), the name of the organization, the address of the organization, annotation, keywords in English.

Block 3 - the full text of the article in the original language (Russian), formatted in accordance with the requirements of the journal.

Block 4 – list of references in Russian (title "References list").

Block 5 - a list of references in English (title "References").

Authors-employees of USPTU are subject to requirements that compulsorily must be observed when preparing a scientific article for publication:

• In the affiliation (place of work or place of research) of the author, it is necessary to indicate full information about the university, avoiding errors and discrepancies:

Data on publications of authors associated with specific organizations are used worldwide to obtain complete information about the scientific activities of the organization.

Editors of journals usually do not transliterate or translate the name of the organization, so it is published in the author's edition. Using different options for translating the names of organizations will lead to the loss of articles in the profile of the organization and the author in many databases. The use of the official, without abbreviations, name of the organization in Russian and English in the article will most accurately identify the affiliation of the authors.

• In the affiliation, authors can indicate the permanent place of work and the organization in which the study or project described in this article was carried out. In particular, for authors who are employees of USPTU, it is necessary to indicate USPTU as a place of work in cases where scientific work was carried out in another institution (not at USPTU). It is allowed to indicate 2,3 or more places of work.

Articles in which the author does not indicate USPTU as a place of work will not be included in the report of the department and will not participate in grant competitions.

• Authors should pay special attention to writing their last name and initials in English. You must choose one, the most correct spelling of your last name, and stick to it in all publications. An arbitrary choice of transliteration (by the editors or the author himself) will inevitably lead to a variety of options for presenting the surname of one author and, as a result, will make it difficult to identify him, combine data on his publications and citations in databases. To achieve the correctness and uniformity of the transliteration of the surname into English, international transliteration systems can be used: “simple system”; US Library of Congress system; Board of Geographic Names (BGN) system; US State Department system. You can also use the spelling of the surname in the passport.

• When compiling a list of references in Russian, it is necessary to adhere to the requirements of GOST R 7.0.5-2008. Bibliographic reference. General requirements and rules for compilation. (See paragraph 3.3.6 of this manual).

• When preparing a list of references in English, it is necessary to use the international standard ISO 690:2010 (E) Information and documentation - Guidelines for bibliographic references and citations to information resources. You can also use special programs for creating bibliographic descriptions in Latin on the Internet. To do this, you need to search for the words "create citation", and you will get several free programs that allow you to automatically create links according to the proposed standards.

Publication in an international journal: how to translate a surname into a foreign language?

When preparing an article for publication in international scientific journals, one often encounters the problem of correctly translating one's last name into a foreign language.  Different spellings of surnames or mistakes made during translation threaten to create several profiles in international databases and complicate the search for publications of the same author.

When preparing a publication in international scientific journals, you need to know the rules of transliteration. Transliteration  is the translation of one graphic alphabet system into another, that is, the transfer of letters from one script to letters from another. There are many transliteration systems. It should be noted that each journal itself chooses one of the systems both for presenting surnames and for use in other sections where transliteration is used (for example, writing the address of an organization or transliterating a bibliographic list).

There are several common transliteration programs: System Libraries U.S. Congress, Board of  Geographic Names (BGN), System State Department  USA, ISO 9 – 1995 transliteration system, GOST 16876-71. When choosing a program, it is advisable to first analyze how the proposed transliteration system complies with the standards adopted in the journal.

On the site Translit.ru you can use the program to transliterate Russian text into Latin for free using various systems described above.

Also, information about the rules of transliteration with detailed descriptions of the most common transliteration systems and tables of transliteration of letters and their combinations can be found in the manual O.V. Kirillova "Editorial preparation of scientific journals for inclusion in foreign citation indices: guidelines" (Moscow, 2012).

How do I know if an article published in a journal has been added to the Web of Science or Scopus database?

Of course, you can regularly visit the databases yourself and check your own (or others') articles, keeping track of the latest ones. But there are other ways to find out about new publications.

Web of Science and Scopus have additional services subject to personal registration. By logging into the database with an individual login and password, you can set up and save your search settings so that you receive a notification about new articles, authors of interest (or your own), articles on a specific topic or a new citation, etc. When you set up such a service, as soon as the article or citation you requested appears in the database, you will receive an email notification (you can also set up an RSS feed in Web of Science).
